TheHR Manager/BOM will perform human resources and payroll processing-related functions and assist in the operations of HR functions and duties by carrying out the responsibilities in the following functional areas: employee relations, performance management, onboarding, policy interpretation and implementation, recruitment and employment, labor relations and employment law compliance. Maintains personnel files in compliance with Brandywine standards and applicable state and federal guidelines. Advises managers, supervisors, and employees on human resource policies. Provides information and consultation regarding employment issues (i.e., transfers, promotion/demotion, etc.) Maintains accurate employment records and files. Enters all new hire I-9s into the E-Verify federal database and maintains the Communitys I-9 binder. Oversee completion of necessary coursework as needed through the Relias Learning Management System. Coordinates the administration of employee safety, occupational health, security, and workers compensation programs; Ensures compliance with all federal, state, and local safety regulations. Coordinate FMLA applications with employees and department managers. Assists departments with personnel/payroll-related inquiries; advises and assists on current departmental HR procedures related to employee records; coordinates employee engagement activities and acts as a liaison between departments and staff. Responsible for the timely entry of new hires, pay rates, pay status changes, and termination information of all employees into the HRIS database. Provides day-to-day performance management guidance to employees and managers; creates performance management documentation of such. Assists with the effective and thorough investigations of employee complaints and employee relations issues. Below are details regarding the Business Office Manager role: General Responsibilities Direct business office activities in accordance with current applicable federal, state and local standards, guidelines and regulations and as directed by the Executive Director Assure that proper procedures are maintained at all times in accounts receivable, accounts payable, payroll, general ledgers and other required spreadsheets to track or create information needed for business operations. Safety, including universal precautions and safe work practices, established fire/safety/disaster plans, risk management, and security, report and/or correct unsafe working conditions, equipment repair and maintenance needs. b. Confidentiality of all data, including resident, employee and operations data. c. Quality Assurance and compliance with all regulatory requirements. d. Compliance with current law and policy to provide a work environment free from sexual harassment and all illegal and discriminatory behavior. 4. Supports and participates in common teamwork: a. Cooperates and works together with all co-workers; plan and complete job duties with minimal supervisory direction, including appropriate judgment. b. Uses tactful, appropriate communications in sensitive and emotional situations. c. Follows up as appropriate with supervisor, co-workers or residents regarding reported complaints, problems and concerns. d. Promotes positive public relations with residents, family members and guests. e. Completes requirements for in-service training, acceptable attendance, uniform and dress codes including personal hygiene, and other work duties as assigned. Essential Duties * Organizes, maintains, and assists in the continued development and improvement in the communitys system of internal accounting. * Provides relevant, complete and accurate and timely financial information to residents, responsible parties, administrative staff, corporate staff, insurance carriers, and government agencies. * Provides training to staff necessary to support the functions of the Business Office and correct problems and improve service. * Develops and maintains effective working rapport with other departments to identify any problems. * Reviews bills for accuracy and obtains approval for payment. * Assumes administrative authority, responsibility, accountability to perform all accounts receivable operations of the community according to policies and procedures. * Interprets the communitys A/R policies and procedures to staff, residents, family members and visitors as directed by the Executive Director. * Prepares oral and written reports to the Executive Director and Regional/Corporate Resident Accounting Managers regarding the status of A/R and collection issues. Maintains and provides statistical data as directed. * Maintains Accounts Receivable: invoice customers, post payment of invoices, track routine and miscellaneous services for which residents, employees or vendors should be billed or credited, deposit invoice payments at bank. * Insures timely posting of all cash receipts and maintains a manual log of said receipts. * Performs month end closing procedures and billing functions. * Establishes and maintains accurate, complete files for each resident; all financial reports, and supporting documentation. * Follows established procedures for all collection efforts, and provides appropriate follow up and documentation. * Maintains Accounts Payable: reviews bills for accuracy, pays vendors authorized by Executive Director following policies and procedures. * Maintains General Ledger: posts recurring entries, posts accrual and prepaid entries according to schedules prepared by accountant, posts adjusting entries as directed by accountant. * Maintains payroll processing: calculates hours of employees time cards, provides hours and other reports as directed by Executive Director. Posts wages to General Ledger. * Investigates and responds to staff questions regarding payroll and benefit issues. * Ensures computer data is backed up daily, weekly, and monthly, according to procedure. * Ensures that all ancillary computer processing systems used in conjunction with billing systems are interfacing and functioning properly. * Updates census information daily on the HBS resident accounting system. * Maintains a manual census log to ensure the accuracy of census information for billing purposes. Reconciles log with computer-generated data at least weekly and prior to month end processing of bills. What can Brandywine offer you?
