Job Summary

The Space Planning Coordinator develops and maintains facilities space inventory databases related to facilities' operational support, including facility condition assessment, building systems life cycle costs, scheduled and planned maintenance, and campus AutoCAD files.

Duties

• Develops and manages the campus facility inventory database, including room ownership, size, use, and AutoCAD depictions. Analyzes data and coordinates with others on proposed future space use based on facilities inventory data, room usage, and university space demands
• Performs regular floor surveys and updates facilities inventory data for accurate recording and submission of space utilization data
• Prepares facilities inventory data required for submission to the Texas Higher Education Coordinating Board and coordinates the submission of all required submittals
• Coordinates with various facilities areas and the campus community for way-finding signage inside campus buildings and campus grounds and manages related spaces and projects
• Develops and manages multi-user as-built AutoCAD file systems for campus buildings and grounds
• Develops and manages campus facilities condition assessment program, including auditing all major building systems, documenting their condition, projecting expected useful life, and obtaining planning budget estimates for ensuring capital renewal and improvement projects
• Manages campus real estate information, including metes, bounds, and boundary surveys
• Organizes and coordinates the File Explorer directory and Facilities reporting procedures

Knowledge, Skills and Abilities

Knowledge:

• General knowledge of building construction and construction processes
• Knowledge of CAFM systems and THECB coding and THECB coding
• Knowledge of the management of a campus facilities database and the related trends, issues, and accepted practices

Skills:

• Basic proficiency in AutoCAD, Adobe Acrobat Pro, Photoshop, and Illustrator; excellent interpersonal, verbal, and written communication skills
• Moderate proficiency with spreadsheets and databases using MS Access and Excel
• Analytical and problem-solving skills

Abilities:

• Ability to effectively communicate with a wide range of individuals and constituencies in a diverse community

Work Location and Physical Demands

Primary Work Location:

• Works in an office environment; however, has frequent excursions to construction areas, roofs, and mechanical areas

Physical Demands:

• Employees will be exposed to normal construction, demolition, and facility operations hazards. Work involves some exposure to elements, such as adverse weather conditions, extreme temperatures, dirt, dust, fumes, and airborne particles
• Position requires maintaining the physical condition necessary for sitting, standing, or walking for prolonged periods of time, as well as for bending, stooping, kneeling, crawling, jumping, climbing, and frequent reaching
• May be exposed to vibration or loud noise
• Must have precise hand-eye coordination, good spatial awareness, and the ability to identify and distinguish colors
• Must have the ability to move items of up to 25lbs

Qualifications

Required Education:

• Associate's degree or up to 3 years of college or technical school (Work experience may be substituted for education)

Required Experience:

• Minimum of one (1) years of related job experience

License/Certification:

• Must maintain a valid, current driver's license

Preferred Qualifications

• Engineering, Architecture, Construction Management, Interior Decor, Project Management, or a related field
