Service Administration Manager (Finance)

Job Summary
The Service Administration manager is a key role within the Equipment Services department, responsible for advanced oversight and strategic management of preventive maintenance (PM) work orders, fuel management, accounting processes, and equipment administration. This position requires an experienced professional with expertise in optimizing service operations, leveraging data for informed decision-making, and driving process improvements. The Service Administration Manager will mentor junior staff, oversee integrated department projects, and ensure the effective integration of IT solutions to enhance overall service delivery and operational efficiency.
Key Responsibilities
1. Additional Duties: Coordinate corrective work orders, ensuring timely resolution and proper documentation.
2. Additional Duties: Serve as the primary contact for escalated issues related to fuel management, equipment telematics systems, and service planning.
3. Advanced Project Management: Collaborate with the Equipment Services department on complex IT and process improvement initiatives.
4. Advanced Project Management: Lead initiatives focused on optimizing data utilization and improving operational efficiencies.
5. Comprehensive Data and Systems Management: Ensure all telematics systems are online and providing accurate, real-time data to the department and integrated systems
6. Comprehensive Data and Systems Management: Monitor and correct equipment hour meter errors, ensuring accurate updates in fleet management systems.
7. Comprehensive Data and Systems Management: Oversee end-of-month fuel inventory for service vehicles and jobsite bulk tanks, addressing discrepancies as needed.
8. Process Optimization and Reporting: Analyze equipment performance metrics, providing actionable insights for continuous improvement.
9. Process Optimization and Reporting: Develop and manage detailed equipment utilization reports, leveraging data to drive operational efficiency.
10. Process Optimization and Reporting: Oversee the processing of fuel invoices, ensuring timely payments and accurate inventory updates.
11. Strategic Oversight and Coordination: Lead the development and implementation of service maintenance strategies and process improvements.
12. Strategic Oversight and Coordination: Manage equipment telematics systems across all assets, ensuring optimal functionality, integration, and data accuracy.
13. Strategic Oversight and Coordination: Manage overall work order program, including clear communication with field technicians to ensure optimal machine uptime.
14. Strategic Oversight and Coordination: Oversee and refine fuel and fluids management, including purchasing, inventory, and analysis.
15. Strategic Oversight and Coordination: Oversee the overall coordination of preventive maintenance for the equipment fleet, ensuring timely and efficient servicing to maintain peak operational performance.
16. Supervision, Mentorship and Training: Mentor junior staff, promoting skill development and adherence to best practices.
17. Supervision, Mentorship and Training: Provide advanced training and support to Service Planners, Admin staff, field technicians and mechanics on fleet management systems and applications.
18. Supervision, Mentorship and Training: Supervise Service Planners and Administrative assistants.
19. System and Application Management: Ensure accurate updates and monitoring of equipment across industry-standard systems and applications.
20. System and Application Management: Manage the integration of equipment management software, ensuring up-to-date information and system functionality.
Minimum Job Requirements
1. 5-7 years of experience in equipment services, data management, or related fields, with a proven track record in advanced planning and project management. Experience with a large, national contractor or heavy equipment dealer is required.
2. AEMP EMS (Equipment Management Specialist) or CEM (Certified Equipment Manager) preferred.
3. Ability to lead cross-functional teams and work independently.
4. Bachelor's degree in business administration, Engineering, or a related field preferred. Equivalent experience and certifications will be considered.
5. Excellent communication and leadership skills.
6. Expertise in equipment systems and fuel management.
7. Extended hours or on-call availability may be required based on project needs.
8. Proficiency in all Microsoft Office applications.
9. Proficiency with fleet management systems and IT solutions.
10. Strong analytical and data management capabilities.
11. Strong problem-solving skills with a high attention to detail.
12. Willingness to stay updated on industry trends and technological advancements.
