Orthodontic Office Manager (Healthcare)
Position Overview: The Orthodontic Office Manager is responsible for managing the day-to-day operations of the practice to ensure an excellent patient experience while achieving financial performance and revenue growth goals. The role requires establishing systems and processes that enhance patient satisfaction, retention, case acceptance, and employee and provider engagement. This position supports both the front and back office, crucial to delivering Bekish Orthodontics' mission of helping children achieve a lifetime of great oral health.
Office Management:
Manage office staff, providing problem-solving, decision-making, planning, delegation, and conflict management as needed.
Build and maintain a positive office culture.
Implement office policies that result in achieving performance goals, including patient satisfaction, employee engagement, provider engagement, financial performance, and growth.
Ensure the practice meets or exceeds annual NPS targets and set action plans as needed.
Staff Management:
In coordination with RDO and Human Resources, select and orient office staff.
Evaluate staff performance and submit performance reviews.
Ensure 100% of staff complete required learning modules on time.
Conduct regular practice staff meetings.
Facilitate and resolve employee complaints/concerns.
Responsible for onboarding and training new employees.
Interdepartmental Collaboration:
Act as an interdepartmental liaison between the practice and other departments/entities.
Provide needed information to other departments (e.g., Human Resources, Marketing, Finance) to support compliance with established policies.
Ensure needed information and documentation are provided to support revenue cycle activities.
Safety and Compliance:
Report any safety-related incidents in a timely fashion, including workers' comp, through the appropriate tool.
Attend all safety-related training programs.
Monitor the work environment for possible safety issues and ensure others perform work safely.
Stay current and comply with state and federal regulations/statutes and company policies impacting the employee's area of responsibility.
Monitor and ensure all certifications and/or licenses are up-to-date and valid before expiration dates.
Complete all company mandatory modules and required job-specific training within the specified timeframe.
Education/Credentials:
Bachelors Degree in Business or a related field; Masters preferred or equivalent work experience.
Job-Related Experience:
Minimum of 3 years of progressive leadership and functional practice management experience in an orthodontic setting.
Excellent communication, problem-solving, and leadership skills.
Coursework or on-the-job training in dentistry, business, or training.
Strong healthcare management/customer service management and leadership skills.
Experience leading a team, mentoring, and coaching subordinates.
