Mailroom Supervisor & Facilities Maintenance (Administrative)
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
Supervise and support the full-time and part-time Mailroom courier staff. Prepares schedules and performs time card signoff.
Establish courier run schedule to STC branches, Ops Complex, and Trust Department. Periodically reviews courier run schedule to ensure efficiencies are maximized while maintaining consistent and timely workflows to branches and departments.
Reviews and approves monthly courier expense sheets and other various Mailroom invoices including postage machine supplies, copy paper orders, and supplies utilized to produce teller forms.
Reviews postage balance and requests postage fund refills from Accounting as needed for the Pitney-Bowes Meter. Orders ink, sealant, tape, and other supplies from Pitney-Bowes as needed for the meter. Schedules routine maintenance for the meter and contacts Pitney-Bowes for service calls when meter is in need of repair.
Collects mail from Post Office opening envelopes by hand or machine, and sorts mail according to destination.
Examines outgoing mail for appearance. Prepares items for mailing making sure items are securely sealed and proper postage has been applied. Delivers prepared mail to the Post Office.
Transports interoffice mail to branches, Main office, Trust and Ops Complex buildings.
Drops all Fed-Ex overnight items at Fed-Ex box prior to scheduled pick-up time.
Coordinates supply inventory with departments.
Utilizes company vehicle for mail runs and maintenance requests around the branch footprint.
Coordinates vehicle maintenance with courier staff that includes oil changes, tires, inspections/maintenance, cleaning, detailing.
Prioritizes and completes as authorized miscellaneous branch maintenance and other branch projects that occur on a regular basis.
Attends regularly scheduled Facilities Meeting.
Assists various departments with moving or relocating supplies when requested.
Understands and supports all BSA/AML responsibilities as applicable to the position as well as consistently and accurately carries out these responsibilities in compliance with the Banks internal policies.
SUPERVISORY RESPONSIBILITIES
Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, and training employees; planning, assigning, and directing work; addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
