Meeting and Events Specialist, Member Services (Finance)
Summary
We are seeking a detail-oriented and organized Meeting and Events Specialist to join our team. Under general supervision, this role will plan, organize and support a variety of meetings, events, programs and trainings for the Association. The specialist will handle administrative, logistical and analytical tasks, ensuring smooth coordination of budgets, contracts, facilities and stakeholder meetings and events. This position requires collaboration with multiple teams to manage event logistics, customize program deliverables and provide excellent service to members and the public. The ideal candidate will have strong organizational skills and the ability to manage multiple projects efficiently; and perform related work as required.
Essential Duties & Responsibilities
Event & Program Coordination: Plan, organize, and support logistics for conferences, workshops, meetings, and training programs, including venue selection, catering, accommodations, and A/V setup.Administrative & Analytical Support: Perform administrative tasks such as maintaining detailed department-specific records, schedules, reports, and databases; ensuring the accuracy of information and resolving discrepancies.Vendor & Contract Management: Coordinate vendor contracts, invoices, and service agreements for approval and payment.Customer Service & Inquiries: Serve as a point of contact for event staff, contractors, vendors, and the public, addressing inquiries and resolving issues.Budget Administration: Assist with budget management, monitor expenditures and recommend resolutions for financial concerns.Data Analysis & Reporting: Develop, analyze and compile event surveys and participant data for reporting and improvement purposes.RFP & Contract Support: Assist with the creation, execution and compliance of Requests for Proposals (RFPs), contract negotiations and vendor agreements.Event Materials & Communication: Draft, proofread and ensure accuracy of event materials, reports and correspondence.Event Logistics & Travel: Coordinate logistics for travel, accommodations and schedules for staff and stakeholders.Additional Duties: Perform other duties as assigned, contributing to the overall success of the Associations initiatives.
Qualifications
Associate degree or higher in business administration, event management, hospitality management, communications, political science or related field.Minimum of three (3) years of experience performing complex administrative tasks and supporting management in an event coordination or related role.Relevant certifications such as Certified Meeting Professional (CMP) or Project Management Professional (PMP) are a plus but not required.Knowledge of event planning cycles, including venue management, project management, production coordination and vendor management.Experience with non-profit organization structures, including boards and commissions.Principles of data collection, information management and report preparation.Proficient with software applications including word processing, web design and database management tools.Ability to complete basic business mathematics and statistical techniques for event analysis and reporting.Effective communication techniques for providing customer service and collaborating with stakeholders.The office environment is primarily sedentary, in a controlled office environment with moderate noise levels and no direct exposure to hazardous physical substances.Ability to sit at a computer for extended periods, use office equipment and lift up to 25 pounds.Ability to occasionally travel required for conferences, training, workshops and meetings throughout California, including overnight stays.Occasional overtime, including evenings, weekends and holidays, may be necessary based on event schedules.Employee is personally responsible for following health and safety guidelines, instructions and policies.
