This position is expected to be in person for the first 90 days and then it will be transitioning to hybrid according to the level of training and demands of the position.
ORGANIZATIONAL SUMMARY:
The Department of Engineering Research consist of three Sr. Grant Research Administrators and one Unit Grant Research Administrator. This department serve as the primary liaison between the faculty Principal Investigators, Sponsored Research, and Research Financial Management on the development, review and submission of grants and contracts submissions.
POSITION SUMMARY:
The Unit Research Administrator acts as the primary contact between Engineering faculty Principal Investigators (PI's), USF Sponsored Research, and USF Research Financial Management on the development, review and subsequent administration of grants and contracts proposal submissions. The position researches grant sources and informs faculty within the college of potential research opportunities. The College of Engineering has a diverse portfolio of public and private sponsors.
RESPONSIBILITIES:
Assists with budget preparation, related documentation and sponsor forms. Contacts and collaborates with partner institutions to secure all necessary subcontract documentation. Assists with upload of materials to electronic proposal packages. Coordinates proposal review with central sponsored research office. Assists with corrections and modifications prior to proposal submission. Reviews Grants.gov, Research.gov, and any other proposal central type of registration. Advises on non-financial post-award matters. Examples include re-budgeting requests, no-cost extensions, and interpretation of award term and conditions
Acts as liaison to central offices across USF campus. Stays current on university and sponsor policies and procedures. Provides policy guidance and assistance with all aspects of proposal development, administrative forms, sponsor-required certifications and representations, and compliance requirements. Provides tools for electronic submissions of proposals.
Reviews sponsor guidelines and identifies key requirements. Assures all regulatory requirements and export control issues are identified. Facilitates cost share approvals.
Identifies sources of funding for the conduct of research and/or service programs. Assists with preparation of letters of intent, preliminary proposals, grant and contract proposals, and supplements. Provides technical assistance and guidance to facilitate the development, administrative review, and funding process for faculty. Collaborates with internal and external stakeholders on grant applications.
Meet with College faculty PI's at the beginning of the proposal process to discuss guidelines possible compliance issues and delegate responsibilities for proposal preparation. Review proposals for grammar/clarity, conformance with RFP requirements before submitting proposal.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree and 1 year of professional administrative experience; or a Master's degree. Progressively responsible related experience may substitute for the required education on a year for year basis.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
6 years of directly relevant experience may be substituted for master's degree.
PREFERRED:
Prefer 3+ years experience with grant development/sponsored research administration in a university or research setting. Familiarity with electronic applications such as Grants.gov, Research.gov, Fastlane, ASSIST, and NSPIRES. Experience working with National Science Foundation, National Institutes of Health, Department of Energy and Department of Defense proposals is strongly desired. Must be proficient in Excel. Must be flexible and capable of working on multiple projects in a fast-paced, deadline-oriented environment.
