Legal Administrative Assistant (Administrative)

We are recruiting for a Legal Administrative Assistant to join our team in Farmington Hills, MI. This is a hybrid role, working 2 days a week in the office and 3 from home.
Position Summary:
Provides a broad range of clerical and administrative duties for multiple attorneys, while exercising a high degree of independence, analytical thought, and decision-making. Leverages knowledge of legal and regulatory requirements, insurance industry terminology, and independent judgment to manage, update, create and/or revise contracts, reports, and regulatory filings. Assists attorneys with gathering and organizing information, developing reports, and other independent assignments to support various programs and projects. Maintains records in compliance with regulatory and internal record retention requirements.
Responsibilities:
Assists in ensuring compliance with statutory filing requirements and responding to inquiries from regulators regarding same.
Assists in monitoring department budget, processing invoices, responding to financial inquiries, and notifying legal management of budget inconsistencies.
Oversees credit collections and bankruptcy proceedings involving current or former policyholders, including issuing correspondence, assigning outside collection agencies as needed and monitoring outside collection efforts.
Assists in administering processes and procedures related to conflicts of interest, fines and penalties, consumer complaints, receipt and handling of summons and complaints, and political action committee meetings and solicitations.
Revises and updates contracts, templates, manuals, and policies and procedures as directed and maintains database of same.
Assists in responding to subpoenas and monitoring responses by outside vendors, as necessary.
Reviews incoming correspondence and identifies necessary follow-up and responds as indicated or distributes to the appropriate attorneys and monitors for resolution.
Provides general administrative support, including preparing cover letters and other correspondence as directed, maintaining diaries and calendars, preparing photocopies, organizing and filing hard copy and electronic documents, answering phones and responding to inquiries from internal and external business partners.
Requirements:
Associate's degree or equivalent work-related experience.
5 years administrative support experience in a corporate legal and/or insurance setting.
Proficiency with all Microsoft Office Suite applications, as well as Microsoft Teams and Zoom.
Excellent organizational skills and ability to function in a fast paced, highly visible, and changing environment.
Ability to work effectively with minimal supervision.
Excellent problem solving, critical thinking and decision-making skills.
Demonstrated successful ability to perform accurate work under the pressures of tight schedules.
Excellent interpersonal and communication skills with the ability to interact with all levels of the organization.
Ability to handle confidential and sensitive information.
