IT Business Office Analyst (Finance)

Job Summary
The IT Business Office Analyst, reporting to the Manager, IT Business & Resource, is responsible for work as an integral part of the IT business operations, to include managing vendors, agreements, finances, and processes.
Education & Experience
Required:
• Bachelor's degree in Business, Finance, Accounting or relevant degree or equivalent experience
• 3-5 years of experience in business operations roles including vendor management, financial analysis, project administration and facilitation
• 3-5 years of experience creating and manipulating work product in Excel, Word and PowerPoint
• U.S. Citizen
• Able to receive a favorable Interim and adjudicated final Department of Defense (DoD) background investigation
Preferred:
• Technical experience in maintaining and creating content in SharePoint
• Analytical experience in forecasting, comparative scenarios (e.g., pricing and growth models)
Key Responsibilities
• Responsibility for working with finance on invoice processing, escalations and research. Maintain and document the process and recommend improvements.
• Responsible for IT contractor on/off boarding process which includes collaborating with Human Capital. Maintain relationships with external account teams, internal teams and escalate delays/exceptions as necessary. Ensure process is in alignment with company policies. Maintain and document the process and recommend improvements.
• Manages and tracks internal IT training including regulatory corporate training and job/career training. Works with management to ensure staff have access to approved training resources. Assists staff in obtaining training and progress tracking.
• Maintain an annual IT software and maintenance renewal schedule and notify responsible parties of upcoming renewals. Facilitate meetings with vendors and IT parties. Supports oversight with the vendor relationship, contracts and delivery of services. Monitor and analyze costs, performance, identify and manage risks and escalate potential issues.
• Responsible for facilitating internal IT department activities as needed. Acts as central point of contact.
• Maintain internal relationships with Legal, Purchasing and Contracts organizations. Prioritize external relationships in the scope of the Small Business program.
• Tracks and reports our overall vendor performance - including variance analysis, issues management and supports escalation of non-performance.
• In collaboration with the Manager, develop and implement IT business operations process improvement initiatives.

Computer Literacy: Ability to function in a multi-system Microsoft environment using Word, Outlook, TriWest Intranet, the Internet, and department software applications.

Information Management: Ability to manage large amounts of complex information easily, communicate clearly, and draw sound conclusions.
Multi-Tasking / Time Management: Prioritize and manage actions to meet changing deadlines and requirements within a high volume, high stress environment.
Organizational Skills: expectations based on organizational relationships and roles both within and outside of the department. Is aware of organizational concepts including change management, process improvement and quality control. Awareness of basic ITIL concepts.
Problem Solving / Analysis: Independently resolve issues within scope of authority. Demonstrate prudence when escalating issues and provide context and situational insight.
Technical Skills: Financial analysis, project management, resource planning and process improvement. MS Excel, Project and PowerPoint.
